This guide walks through the full skill management workflow in AlphaLearn – from setting up skills and mappings to identifying skill gaps across your organisation.
Step 1: Review Skill Ratings
Go to Settings → Skill → Skill Rating tab. Review the default ratings and customise them to match your organisation’s proficiency scale. You can add or delete ratings at this stage, but once ratings are actively in use they cannot be added or removed – only renamed.
Step 2: Add Skill Sets
Go to Settings → Skill → Skill Set tab. Skill sets are groupings of related skills (e.g. “Leadership”, “Technical”). Add them manually or import via CSV.
Step 3: Add Skills
Go to Settings → Skill → Skills tab. Add the individual skills your organisation considers essential, manually or via CSV import.
Step 4: Map Skills to Departments and Designations
Go to Settings → Skill Mapping. Map skills to specific departments and designations, along with the required proficiency rating. This defines the expected skill profile for each role. Skill mapping can also be done via CSV import.
Step 5: View the Skill Mapping Report
Go to Reports → Skills → Skill Mapping tab. Select a Department and optionally filter by Designation and Skills, then click Submit to review the mapped skill requirements.
Step 6: Attach Skills to Courses and Assignments
Associate skills with activities so learners automatically acquire them on completion.
- Course – Go to the course → Settings → Advanced Settings → Skills → Add Skills.
- Assignment in a course – Open the assignment → Add / Edit Assignment Settings → Skills → Add Skills.
- Assignment in a Learning Object – Open the Learning Object → Add / Edit Assignment Settings → Skills → Add Skills.
Step 7: Enroll Learners in Courses
Enroll learners in courses or Learning Objects that align with their skill development needs. Skills are awarded automatically when the activity is completed.
Step 8: Assign Skills Manually
For skills earned outside of LMS activities, you can assign them directly:
- Individual – Go to Users → find the learner → click the Assign Skills icon → add the skill and rating.
- Bulk – Go to Users → Import / Bulk Action → Assign Skills. Download the sample CSV, fill in each learner’s email, skill, and rating, then import the file.
Step 9: View the Skills Acquired Report
Go to Reports → Skills → Skills Acquired tab to see each learner’s acquired skills and their current ratings.
Step 10: Evaluate Skills Assessed Outside the LMS
For assessments conducted outside the LMS, update a learner’s skill rating manually by going to Evaluation → Skill → Evaluate.
Step 11: Identify Skill Gaps
Go to Reports → Skills → Skill Gap Analysis tab. This report compares each learner’s current skills against the required skill mapping for their role, highlighting gaps. Use the legend at the bottom of the report to interpret the visualisation.
Learner View
Learners acquire skills automatically when they complete a course, assignment, or Learning Object that has skills attached – or when skills are assigned manually by an admin.
- View Skills – Learners can see their acquired skills and ratings in their Achievements section. An email notification is sent each time a new skill is earned.
- Rating Updates – Learners receive an email notification when their skill rating is updated or re-evaluated.
