This Privacy Policy explains how Horizzon Information Technologies Private Limited (“AlphaLearn,” “we,” “our,” or “us”) collects, uses, discloses, and protects information when you access or use the AlphaLearn Learning Management System (“Service”) available through alphalearn.com and its subdomains (the “Website”).

By accessing or using the Service, you (“Customer,” “you,” “your”) acknowledge that you have read, understood, and agree to the practices described in this Privacy Policy.

1. Information We Collect

1.1 Information You Provide

We collect information that you or your organization voluntarily provide, including:

  • Account and contact details: name, email address, phone number, organization name, job title.
  • Billing information: company details, billing address, GST or tax information.
  • Content and course data: files, assessments, and other materials uploaded to the LMS.
  • Support communications: helpdesk tickets, emails, or feedback forms.

1.2 Information Collected Automatically

When you access the Service, we automatically collect limited technical data such as:

  • Browser type, operating system, and device information
  • IP address and approximate location
  • Access time, pages visited, and usage patterns
  • Log data and diagnostic information for system performance and security

1.3 Cookies and Similar Technologies

We use cookies and similar technologies to:

  • Maintain your login session
  • Remember preferences and improve user experience
  • Analyze site usage for service improvement
  • You can manage cookie preferences in your browser settings, though some features may not function properly if cookies are disabled.

2. How We Use Information

We use collected information to:

  • Provide, operate, and maintain the Service
  • Create and manage user accounts
  • Deliver customer support and technical assistance
  • Communicate important updates, changes, or notices
  • Process billing and payments

3. How We Share Information

We do not sell or rent personal information. We may share information only as follows:

  • Service providers: Trusted vendors assisting with hosting, email delivery, analytics, payment processing, and support.

  • Business continuity: In case of merger, acquisition, or sale of assets, provided confidentiality is maintained.
  • Customer-enabled integrations: Customers may choose to connect third-party tools or content (such as LTI, SCORM, or external analytics). Any data shared through these integrations is governed by the respective third party’s privacy policy, and AlphaLearn does not control or manage such data exchanges.

All third parties handling data on our behalf are bound by confidentiality and security obligations consistent with this policy.

4. Data Ownership and Control

  • You retain full ownership of the content and data uploaded to your LMS portal.
  • We process and store Customer Data solely to provide and maintain the Service.
  • Upon request or at the end of your subscription, we delete Customer Data in accordance with our retention policy (see Section 7).

5. Data Security

  • We maintain robust administrative, technical, and organizational measures to protect your data against unauthorized access, loss, or misuse.
  • These measures align with recognized industry standards and include encryption, access controls, monitoring, and incident response procedures.
  • While we take reasonable steps to safeguard your information, no system is entirely immune from risk.
  • You are responsible for maintaining the confidentiality of your login credentials and promptly notifying us of any suspected unauthorized access.

6. Data Storage and Transfers

All Customer Data is primarily hosted on secure cloud infrastructure located in AWS data centers (India region, unless otherwise specified). If data is processed in another location for redundancy or performance, equivalent security controls are applied.

7. Data Retention and Deletion

We retain Customer Data for the duration of your subscription. Upon termination or at the end of your subscription:

  • Data is removed from the systems within 60 days
  • Data is purged from backup within 30 days thereafter
  • Some metadata or log records may be retained longer for compliance, auditing, or dispute resolution, as permitted by law.

8. Your Rights and Choices

Depending on your role or account type, you may exercise certain rights regarding your personal data:

  • Access and Update: You may review and update your account details through your admin portal.
  • Correction or Deletion: You may request the correction or deletion of personal data, subject to legal, contractual, or operational limitations. For accounts managed by organizations, certain rights may be exercised by account administrators rather than individual learners. Requests that cannot be fulfilled due to legal obligations or contractual requirements will be communicated accordingly.
  • Marketing Preferences: You may opt out of non-essential marketing communications using the unsubscribe link in emails.

All requests regarding your personal data should be submitted to helpdesk at alphalearn dot com. We will respond in accordance with applicable laws and our internal policies.

9. Children’s Privacy

Our Service is designed for use by organizations, educational institutions, and adult administrators. While our customers may use the LMS to enroll or train minors, we do not directly provide services to children or knowingly collect their personal information.

Any personal data of minors processed within the LMS is controlled by the subscribing organization, which is responsible for obtaining any required parental or guardian consent in accordance with applicable laws. If we become aware that we have received such data directly without proper authorization, we will delete it promptly.

10. Third-Party Links and Integrations

Our Service may include integrations or links to third-party tools or content (e.g., LTI, YouTube, Zoom, WhatsApp, MS Teams, Google Meet, GoToWebinar, etc.). We are not responsible for the privacy practices or policies of those third parties. Please review their respective privacy statements before enabling integrations.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. The “Last Updated” date at the top of this page indicates the latest revision. Continued use of the Service after any updates constitutes acceptance of the revised policy.
